Board Meeting 10-30-8 7:00pm
** As secretary I felt it necessary to re-iterate the last board meeting. You will find all of the last board meeting minutes in italics when we discuss it. This was done for a quick reference. The boards decision on 10-20-8 will be in bold letters.
Item#1: Volunteer Hours
Tom L. brought meeting to order. First item on the agenda was to go over the volunteer hours. It was brought up should we give people a break if they don’t meet their hours due to a sudden health change. No decision was voted on it. It was determined that the current hours need to be sent out every month to the membership. It was suggested that next year we should seriously consider changing the hours to credits. We intend to come up with a list of things that can be done for the club their credit value for each item and a total number of credit required per year. We intend to have a sign up for these responsibilities on the first club meeting of the year. It was agreed that those that don’t meet this years hours should have to pay for not meeting their hours. It was suggested either to pay full price next year or that we send out a invoice to them for the difference yet this year before the end of the year. It was also suggested that we give those people that did make an attempt to get some hours a discount based on the hours/10 total hours required. Nothing was voted on. It was brought up that it was also Denny O. responsibility to make sure it got policed, whether he did it or delegated it out. It was also brought up that it would probably require policing it for the first couple of years. We need to remind the membership that Harry R. is doing the best he can to keep track of the working members hours but there are 50+ members to track. Check the current hours totals and if he has missed some hours for you please don’t get offended just let him now and he’ll correct it. We want to make a list of all the items the members can get credits/hours for and approve it by the end of the year. I have started a list at the end please add to it.
It was determined that we are going to stick with the requirement of 10 volunteer hours per club member that holds the volunteer status.
It was determined that for those members that had a sudden health change and didn’t meet there responsibilities would be allowed the following benefits: Another member that earned more than his share of club hours could donate some or all of the hours to that member to help him meet his responsibilities. This is entirely on a volunteer basis. Any hours below the 10 required hours and the individual will be allowed to make them up next year. *See below.
Those members that made no attempt to meet the volunteer hours would have to pay the full non-volunteer status for next year. It was determined that you must earn at least 7 hours/year or you fall into this category. If you had a sudden health change a member may volunteer hours to assist in you meeting the 7 hours.
Those members that made an attempt and had over 7 hours per year will bank the difference and add it to next years 10 hours per year. (If you earned 7 hours this year you will be required to fulfill 13 hours next year.) However if the member so chooses he may sign up as a non-volunteer pay the higher fee and waive all hour requirements for last year and this year.
The VP will be responsible for making sure it is policed. The president will be responsible for notifying the members that fall into either of the above categories via email or mail.
We came up with the following list of club duties you can earn your 10 volunteer hours for. You may start to sign up for these hours starting at the first club meeting of the new year and any time afterwards. See the person below responsible for either item to sign up. The responsibility listed below only refers to which board member will be tracking, managing, and is who you should sign up for the club duty to.

Item #2 Responsibilities of the VP(Answers): As VP Denny O. has been doing a good job in maintaining the field and getting volunteers. Tom asked the question whether or not it was fair that he should have to do field maintenance and the club programs? It was suggested that we make another position for someone to do the club programs. It was also suggested that Denny remain in charge of the club programs but delegate it out to others and not try to do everything himself. It was voted on and the language of the VP description to put him in charge of delegating the club programs. Please pay attention to this when the new descriptions come out. (Answer: Yes he is ultimately in charge of both of these items. However the board has decided to add the Program Manager position to the Volunteer Hours. This individual will be responsible for a number of the above running and managing of club functions. He will be chosen and managed by the VP. The board felt it wasn’t necessary to change any language in the club by laws.)
Item#3: Dues: It was determined not to make any changes to the dues structure at this time.
Item#4 Elections: Everyone is reminded that club elections are coming up. Tom L. will send out a reminder to club members via email and ask for volunteers/nominations for the up coming elections. We currently have 3 board member positions up for reelection. (Jim Bowers, Mike Cramer, and Dave Gonyer) In December we will also be taking nominations/volunteers and we will be voting for the positions at the December club meeting.
Item #5 By-Laws: It was determined that we could make the above changes without effecting our current By-Laws. The board decided there was no need to make any changes to our By-Laws at this time.
Item #6 Associate Membership: It was determined that we would not have an associate membership for the club. The board stated the following reasons. The need to setting up a dues structure and track it, policing and tracking the associate members flying activities, and the fact that all Flightmaster members must be AMA members to qualify for membership. The board did decide that non-members are always welcome to come to the field to watch, come to any club function to watch, and wear any club memorabilia to help advertise for the club at any time.
